We handle a wide variety of responsibilities involved in ensuring the successful, safe and cost-effective delivery of special cultural events that meet artistic, corporate and media sponsor objectives. This will include coordinating event logistics, such as food vendor selection, signage and arrangements with artists, recruiting and supervising security personnel, overseeing the inventory of equipment and supplies, project expenditures and technical production, and other related tasks.
RESPONSIBILITIES
•Develop and implement detailed plans and recommend policies regarding program-specific requirements.
•Oversee procurement and contract management of suppliers for assigned events, and supervise activities of onsite contractors, suppliers and vendors.
•Provide input into the development, administration and monitoring of the assigned event budget, including processing, tracking and submission of purchases, contracts, revenues and expenditures, and ensure that project expenditures are controlled and maintained within approved budget limitations.
•Supervise assigned projects, ensuring effective teamwork and communication, high standards of work quality and organizational performance, and continuous learning.
•Coordinate event logistics, including site inspections, site plan development, production schedules, contingency plans as well as security and accreditation pass systems.
•Work with the Manager, to recommend and implement policies and procedures related to special event operations, with particular emphasis on the development of safe environments for the public and contracted workers.
•Assist with site safety assessments and the implementation of risk management planning, including the coordination of emergency services, and maintain cost-effective, efficient and safe operational practices that meet Occupational Health and Safety regulations.
•Coordinate the safe delivery of special events services, realizing artistic as well as corporate and media sponsor objectives.
•Recruit, negotiate contracts with, and supervise security personnel
•Ensure the development and implementation of the technical production (e.g., audio, lighting, pyrotechnics, tenting, barbecues, tables, chairs) for projects, as assigned.
•Ensure compliance with by-laws and appropriate permits, and liaison with Public Health.
•Liaise with the Transportation Services sign shop or external providers, and arrange for sign production as well as hardware procurement options.
•Oversee event vending opportunities, such as appropriate food for events, merchandise for Cavalcade of Lights, etc., to supplement the operating budget.
•Collaborate with Sponsorship, Marketing, Production, Event Support and other units in the execution of seamless events, and participate in the lead team model as a representative of the Production Unit on assigned events.
•Make all arrangements with artists, such as date, time, ground transportation, etc., for assigned events.
•Oversee inventory, storage and safe operation of equipment and supplies.
•Provide consultation, expertise and advice on production issues in response to external or internal event industry inquiries
